Project Administration Officer

Project Administration Officer / Project Secretary Proactively liaise with Account Managers to gather, consolidate, and maintain up-to-date information on all active tenders, pipeline opportunities, and existing project statuses (Both international and Hong Kong projects); Ensure all project data, forecasts, and status updates are accurately logged; Work closely with Account Managers and Project Managers to assist in the initial preparation, documentation, and baseline setup of project budgets and cost estimates; Help compile and deliver detailed Work In Progress (WIP) reports to Account Managers, providing clarity on billing status, expenditure against budget, and potential cost variances; Assist with the administrative processes related to subcontracts, purchase orders, and change requests, ensuring compliance with internal financial procedures; Coordinate, schedule, and prepare necessary documentation for regular PMO meetings and project reviews; Ensure timely follow-up on all assigned PMO and project actions, escalating risks and roadblocks to the PMO Manager as necessary to maintain project momentum; Maintain an organized, centralized repository of all project documentation (contracts, specifications, drawings, scope changes) for easy access and audit purposes; Assist in the administrative setup of new projects and the closure documentation for completed projects; Ad-hoc assignments as and when required. Qualifications Associate's or Bachelor's degree in Business Administration, Project Management, Finance, E&M, construction, IT or related subject; 2-5 years of experience in an administrative, coordination, or support role, preferably within a Project Management Office (PMO), or the IT, Building or Construction industries; High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Advanced Excel skills are essential; Basic understanding of project budgeting, invoicing, and WIP concepts; Good verbal and written communication skills in English, Cantonese and Mandarin; ability to interact confidently with Account Managers and Senior Project staff; Proven ability to manage multiple tasks, prioritize workload, and adhere to strict deadlines; Strong initiative and willingness to follow up and drive administrative tasks to completion; Meticulous approach to data accuracy, document control, and minute taking; Candidate with less experience will be considered as Assistant Business Analyst.
