The luxury retail environment is rapidly changing especially in North Asia over the past years and the luxury market will continue to evolve and transform in the years to come. In North Asia, P&O will serve as the catalyst for innovation on the people agenda, fostering an ecosystem that hones foresight and fuels continuous learning, outside-in perspectives and creativity. The function will also focus on streamlining people processes for operational simplicity and efficiency to enable the region to move ahead boldly and with speed. This requires a seasoned and mature Executive Assistant to support the team in achieving our ambitions, particularly in transition and change transformation agenda. The Executive Assistant will be a specific partner and facilitator to the Director, P&O, North Asia, coordinating across all teams and markets.

You will be responsible for performing an array of administrative and coordination functions, requiring confidentiality, initiative and comprehensive decision making for the senior leader, their team of managers, and other stakeholders within the region, markets and global P&O teams. You bring an extensive professional experience with a proven track record in relationship and stakeholder management, while being agile, collaborative and open-minded, to enable the leader to create greater impact for North Asia. You act as a professional collaborator and problem solver to confidently make independent decisions when handling administrative tasks and communicating at an exceptional standard. You develop a deep understanding of what matters to the teams, and actively apply that knowledge to your day-to-day activities with ownership and ability to multitasks and move inside a fast-paced changing environment. You will play a key role in supporting the Director P&O North Asia and in the animation of the teams, fostering a positive spirit, throughout the transformation journey and beyond.

To support the Director, P&O, North Asia and team along the Future of Asia journey especially in the transition and onboarding stages. To establish a new working mechanism with the spirit of ‘leading beyond’ for the team including governance, ways of working, function and meeting cadence. To support the team engagement and change management during the transformation.Stakeholder Management & Team Coordination
To partner the Director, P&O, North Asia in fostering a strong team spirit amongst the North Asia teams and to support the smooth transition throughout the transformation journey. To contribute to the partnership of the Director, P&O, North Asia with key stakeholders by building strong networking with them and their teams. To share with the Director, P&O, North Asia openly the observations and perspectives on the situation facing the function and region. To facilitate the Director, P&O, North Asia in establishing the new role and team immersion. To coordinate across all the teams in the region, markets and global teams to reinforce connections and facilitate new ways of working.Project Management
To provide support on projects with a region-wide impact as required. To support the Director, P&O, North Asia and the dedicated teams, in preparing presentation materials all the way from translating thoughts into well-structured content & format and conducting market research as deemed necessary.Planning & Organizing
To partner the North Asia P&O leadership team in ensuring meetings are planned and conducted in a constructive and productive way with appropriate follow-up. To own and master the P&O activity calendar and associated collateral to ensure the time of the Director, P&O, North Asia and the team is well-spent on activities that generate the best ROI to the House, to the function and our people. To plan and organize meetings taking place in North Asia by representing the director’s office and to manage the visits of senior leaders to North Asia.General Administrative Support
To manage the calendar and meeting schedule for the Director, P&O, North Asia to ensure work is managed in a seamless, timely, efficient and effective manner. To manage all travel arrangements and related activities (i.e. visas) for the Director and the team. To oversee department expense management of the regional team and process T&E claims in an accurate manner. To build and maintain a well-organized and systematic e-filing system, databases and relevant P&O collateral such as sharepoint sites. To obtain good understanding on the content of the documents received for signature by the Director, P&O, North Asia. To constantly consider enhancements to current ways of working by applying new methodologies and approaches. To support the Regional teams needs as required with strong collaborative spirit and open-mind.What You Will Bring
Solid experience with proven track record in serving senior executives from multinational companies. A strong team player with excellent interpersonal, communication & networking skills with evidence of building effective partnership with people of different profiles. Excellent planning and organizing skills and able to create impact through influence. Be open minded with a “think out of the box” approach to doing things differently. Being mindful, confidential and able to demonstrate humility and care for others. Fluent spoken English is essential with Cantonese and Mandarin preferred Good written English and Chinese is essential and translation skills an added advantage. Well versed in Microsoft office software and a fast learner of new digital tools.-
